Salpulse Survey Management

Note: These functions are only available to your organisation's Salpulse Administrator(s) and Restricted Administrator(s).

Adding, Removing or Altering Questions

The questions in your Salpulse survey have been carefully researched and designed to take the pulse of your culture. If however, you would like to discuss adding, removing or altering any questions in your surveys, this can be accommodated. Please contact Salple.

Survey Settings

Survey settings are accessed through the Surveys tab of the Admin menu item. There, you can manually send a survey, preview the survey before sending it, configure how long the survey is open for and toggle whether a "request a follow up" question is asked in the survey:

Send a Survey

Before sending a survey:

  • Make sure you have checked that all your employees have been added to Salpulse.
  • Check if you want to skip this survey for any employees (eg: on parental leave).
  • Make sure to check all tags for your employees.
  • Select the open period for the survey (we recommend 2 weeks).
  • Ensure the Follow Ups toggle is set, if your organisation has the capacity to follow up individual survey responses (where employees check this tickbox). We recommend this, if possible.

When you are ready to send:

  • From the Surveys tab in the Admin menu item, click the Send link.
  • In the dialog that opens, you will be asked to type the word SEND, then hit the Send Now button to confirm. This will then email the invitation to your employees (except any marked as skip survey) and in every page of the Salpulse app, a link for the user to complete their survey will be displayed.

Note: Each employee's survey link is unique. Do not forward a link to an employee as this will send them the wrong link.

Inviting New Employees to an Open Survey

After a survey has been sent (but before it closes), if you add a new employee to Salpulse, you can (optionally) invite them to participate in the survey. Click on the Admin menu item, select the Users tab, click on the Surveys radio button, then click the invite link for the new employee. This will send them an email with the survey link.

You can send the invitations as a batch, if you have addes lots of employees. Click on the link in the Manual Send section of the Salpulse Survey Settings:

Resending an Employee's Survey Invitation

To resend an employee, their survey invitation link, Click on the Admin menu item, select the Users tab then tick the Surveys radio button. Then click on the date in the Invited At column for that user:

Then click Resend in the dialog that pops up. This will email the survey invitation link to that user.

Skipping an Employee During a Survey

Sometimes it is useful to be able to not invite an employee to a survey. For instance if they are on long service or parental leave. Click on the Admin menu item, select the Users tab then tick the Surveys radio button. This will show a list of users. Click the Skip Survey tick box for the appropriate person:

This person will be skipped from all future surveys, until unticked. If you untick them while a survey is open, remember to click the invite link if you then want them to be a part of the current survey.

Survey Open Period

An open period of 1 week means that the survey will close on the evening (AET) of the same day of the next week.

An open period of 1 day means that the survey will be open for 1 full day after then end of the trigger day (eg: 1.5 days). Eg: start the survey at 10am Monday, close will be;

Survey Reminders

Reminders will be sent to employees who haven't started or finished their survey reponses, half way through the survey open period, then again at 10am (AET) on the day the survey is due to close.

Monitor an Open Survey

After sending a survey, you can monitor its progress in two ways. To get a summary of the status of completions, select the survey from the Pulse menu item, then select the Salpulse Survey node:

To see a summary of the status for each user, from the Users tab of the Admin menu item, click on the Surveys radio button:

Manually Closing a Survey

Salpulse will automatically close a survey at the appointed time. If however, you would like to close a survey before then, click the Close Now link in the Survey Settings.

Reopening a Closed Survey

After you have closed a survey, it may be appropriate to reopen the survey shortly afterwards for a period of time. You can do this by clicking the Reopen Survey link in the Survey Settings.

Note: This action does not send any invitations. If you have added employees since the survey was originally sent, you will need to invite new employees. The results will be blended into the original survey results. The date of the survey will remain at the date the survey was originally sent.
